Job Description

Duties/Tasks :

  • Experience coordinating and maintaining a senior executive's agenda and activities.

  • Experience in setting up meetings/teleconference including gathering documents/materials for the meetings.

  • Recent experience in managing and coordinating the administrative responsibilities of a senior manager’s immediate office

  • Photocopying, faxing, scanning and filing documents.

  • Inputting data, processing and updating, routing correspondence, maintaining Bring-Forward (BF) systems.

  • Experience in positions requiring ability to cope with stressful and crisis situations and involving numerous short/tight deadlines.

  • Experience in the operation of a computer and a variety of software, including the Lotus SmartSuite applications.

  • Experience in answering telephone and taking messages

Mandatory Qualifications:

  • Certificate, diploma, or degree in administration (business, office, public, etc.), financial management, business or related field from a recognized post secondary institution or an acceptable combination of education, training and experience

  • Minimum of two (2) years in the last 3 years of relevant experience with the federal government is required

Experience: (Must have recent experience – 2 years in the last 3 years of the following)

Abilities:

  • Ability to communicate effectively, orally and in writing.

  • Ability to analyze and evaluate content of briefing material, reports, correspondence and any document processed through the DGO to ensure correctness and completeness.

  • Ability to determine priorities and to make decisions and initiate action accordingly.

  • Ability to deal with many conflicting and urgent demands, determine priorities and organize work accordingly.

Qualifications Language proficiency required: Bilingual
